Import/Export Tool

The Import/Export Tool simplifies the creation and management of complex price lists in the Advanced Price Management app by enabling users to export and import price list data in an editable Excel format.

This tool allows users to:

  • Export existing Advanced Price Lists to Excel for review or bulk editing.
  • Import updated or new price list data from Excel into Business Central.
  • Manage pricing structures efficiently across multiple items and conditions.

New action

New actions are available on both the Advanced Price List and Advanced Price Card pages:

Action Description
Export Price Tool Exports Price List Header and Lines, as well as sublines to an editable Excel file.
Import Price Tool Imports the Price List Header, Lines, and Sublines from Excel. The imported data will overwrite the existing information on the Advanced Price Card.
The tool updates or creates only one Advanced Price List (APM Card) at a time.

Export Tool

  • The export can be initiated from either the APM List or directly from the APM Card.
  • Excel file will have 6 tabs:
    • Header
    • Prices
    • Discounts
    • Discount Fees
    • Free Item
    • Substitution
  • All existing lines on the selected APM Card will be exported.

Import Price Tool

  • The import can be initiated from either the APM List or directly from the APM Card.
  • When importing, all existing lines on the selected APM Card are deleted and replaced with the content from the Excel file.
  • The Excel file supersedes the existing price list data.
The Import/Export function supports files only in the language currently active in Business Central. For example, if a price list is exported while using Business Central in English, attempting to re-import the same file after switching to French will result in an error.
To avoid issues, ensure the Business Central language setting matches the language used during export when performing imports.

Change Advance Price Card Code

If the Code field in the Excel file (on the Header tab) is manually changed:

  • and the Code exists in Advance Price List

    • the corresponding APM Card is updated with the imported data

  • Code does not exist and No. Series allows manual numbers

    • A new APM Card is created using the imported data
    • A confirmation message appears

  • Code does not exist and No. Series does not allow manual numbers
    • Error message appears
