Transport Instructions

General

The Transport Instructions feature allows users to define and manage specific transportation-related instructions on documents such as Sales, Purchases, Transfers and Transport Orders. These instructions are used solely for carrier communication and complement the existing advanced comments and work instructions in the system.

How It Works

Create Transport Instructions

Transport instructions can be created and associated with the following sources:

  • Customer: Instructions linked to customer records will be populated on Sales Orders.
  • Vendor: Vendor-specific transport instructions will appear on Purchase Orders.
  • Location: Relevant to Sales, Purchase and Transfer orders, location-related instructions provide site-specific guidelines.
  • Ship-To Address or Order Address: Additional instructions for alternate addresses.

Transport instructions should be created on each entity card.

Instructions can be manually added, edited, or removed directly within the documents.

Inheriting Transport Instructions

Transport Instructions on Sales Order

  1. Open a sales order and fill in the Customer No. field.

    • The system checks for related transport instructions from the customer’s record.
  2. If the Ship-To Address is specified, any related transport instructions for that address will also be added.

  3. Users can manually add, modify, or delete transport instructions by clicking the Transport Instructions action in the Transport Management group.

  4. Transport Instructions can be associated with a specific Order Line. In each line, it’s possible to check how many Transport Instructions exist and access them directly:

Transport Instructions in Purchase Orders

  1. Open a purchase order and fill in the Vendor No. field.

    • Vendor-specific instructions will populate automatically.
  2. If an alternate vendor address is provided, the system checks for related instructions linked to that address.

  3. Users can manually add, modify, or delete transport instructions by clicking in the Transport Instructions action in the Transport Management group.

  4. Transport Instructions can be associated with a specific Order Line.

Transport Instructions on Transfer Orders

  1. Open a Transfer order and fill in the Transfer-from Code field and Transfer-to Code

    • The system checks for related transport instructions from the Location’s record.
  2. Users can add, modify, or delete transport instructions manually by clicking the Transport Instructions action in the Transport Management group.

  3. Transport Instructions can be associated with a specific Order Line.

Transport Instructions on Transport Orders

  1. Single Address Transport Order Inheritance

For all Transport Orders with Single Address:

  • All Transport Instructions related to the Header 🡪 Are created as Header Transport Instructions on Transport Orders.
  • All Transport Instructions related to a specific Line 🡪 Are created as related to the corresponding Transport Order Line of type ‘Pick-up’.
  1. Multiple Address Transport Order Inheritance

For all Transport Orders with Multiple Address:

  • All Transport Instructions related to the Source Document(s) Header 🡪 Are not inherited as Header Transport Instructions on Transport Orders. However, they are inherited as line-specific Transport Instructions. They can be associated with the Pick-up lines, Delivery lines or both, depending on the Source Entity.
  • All Transport Instructions related to a specific Line 🡪 Are created as related to the corresponding Transport Order Lines of type ‘Pick-up’ and ‘Delivery’.

Users can manually add Transport Instructions directly within any document.
