Outbound Transactions

Outbound transactions using License Plates manage the picking and shipping of inventory from the warehouse. During picking or shipping processes, items are retrieved from License Plates, and new shipping License Plate numbers may be assigned for tracking purposes.

Assigning a New License Plate

In the License Plating process, a License Plate can only be assigned to a single Location/Bin. However, there may be scenarios where the user needs to move only part of the items from a License Plate. To handle this, a new License Plate must be assigned to the quantity being moved, so the system recognizes it as a full License Plate.

The action Assign Ship License Plate No. is used to assign a new License Plate for partial movements. Key rules for this process include:

  • New License Plate No. must be assigned using the action. Users cannot manually enter a new License Plate number.

  • If a user manually enters a non-existent License Plate, the system will throw an error: “Not possible to manually set a new value. Please generate a new License Plate No. using the action ‘Assign Ship License Plate No.’ from this page."

  • If a License Plate is already assigned to the line, the system will prevent further assignment and show the error: “Not possible to create (one or more) License Plates for the selected line, because a License Plate was already specified on the line."

  • If the item or location doesn’t require License Plate tracking, errors will be displayed accordingly.

Ship License Plate Creation without SSCC

If SSCC as Shipping License Plate = No from License Plating Setup, the Ship License Plate number is generated based on the numbering series defined in Company Information. The generated License Plate is temporarily stored in the Ship License Plate Bin Code field from the Location Card. The License Plate Type will be assigned based on the Default License Plate Type from the License Plating Setup.

  • The Ship License Plate Bin Code cannot match the Bin Code used in the outbound document.
  • If the Ship License Plate Bin Code is not filled in, the system will show an error.
  • If the License Plate Nos or Default License Plate Type fields in the License Plating Setup are not filled, the system will also return errors during assignment.

SSCC-Based License Plate Creation

If SSCC as Shipping License Plate = Yes, the system generates a License Plate using the format Company Prefix + SSCC Nos + Check Digit. The combination must result in an 18-digit number, otherwise, the system will display an error.

Errors will also occur if the SSCC Company Prefix or SSCC Nos fields are not filled in the License Plating Setup.

Movement Posting

Before posting an inventory or warehouse document, the system will move the required quantity from the original License Plate to the new Ship License Plate using the Item Reclassification Journal (set up in License Plating Setup).

If no new Ship License Plate is assigned when moving part of a License Plate, the system will show an error.

Outbound transactions must always use the License Plate defined in the Source Document. If the Item Tracking Lines are already filled, you can still use Assign Ship License Plate No., but posting an outbound movement with mismatched License Plates will result in error.

Additional Validation

  • If multiple lots are not allowed for License Plates (as per the License Plating Setup), the system will validate this during License Plate selection. If a License Plate is used for multiple lots or items when not permitted, errors will be displayed.

  • In transactions where the user can Select Entries in the Item Tracking Lines (e.g., Negative Adjustment, Sales Order, Return Purchase Order, Transfer Order), blocked License Plates will be shown. However, if the user tries to post using a blocked License Plate, an error will appear.

Using the Move License Plate Function

When outbound transactions don’t require inventory or warehouse documents but need a new License Plate, the Move License Plate function can be used to transfer quantities from one License Plate to another. This allows users to select the new License Plate directly in the outbound movement (ex: Sales Order).
