Permission Sets

To use this extension, all users need some extra permissions:

• (ISATECH-LCM) “License Control Management”, for all users.

For the user of the extension (setup or read) there are some extra permissions sets:

• (ISABUS_SETUP) for users that need to setup apps via the Business Essentials Setup page.

NOTE: Other users should be able to read Over Shipment Codes and use Over Shipment functionalities with standard Sales / Purchase permission sets.

Data Retention and Privacy

Data Storage

• All data generated by Business Essentials is stored within the standard Business Central database
• Includes:
  • Advanced Comments
  • Work Instructions
  • Customer/Vendor Listings
  • Shortage and document-related data
• No separate or external database is used
• Follows standard Business Central data retention policies

Privacy Compliance

• Fully aligned with GDPR compliance through Business Central
• No personal data is transmitted outside the system by Business Essentials
• Data is:
  • Isolated per company
  • Accessible only through Business Central security roles
• All transactions and changes benefit from standard audit trail capabilities

Data Archiving

• Data stored in Business Essentials follows standard Business Central lifecycle rules:
  • Posted document data (e.g., comments, shortages context) is retained as part of posted transactions
  • Master data configurations (e.g., listings, instructions) remain active until manually deleted
• Deleted records:
  • Are removed from active tables
  • Are not archived separately unless standard Business Central mechanisms are used

Security Best Practices

1. Restrict Setup Access

• Limit configuration of:
  • Advanced Comments
  • Work Instructions
  • Customer/Vendor Listings
• Assign permissions only to authorized users

2. Review Commercial Rules Regularly

• Validate that:
  • Customer/Vendor Listings reflect current agreements
  • Comments and instructions remain accurate

3. Control Validation Behavior

• Monitor whether rules are set to:
  • Warning
  • Blocking
• Ensure alignment with business policies

4. Monitor Over-Shipment Usage

• Regularly review scenarios where over-shipments are applied
• Confirm they are used only where operationally justified

5. Ensure Data Accuracy

• Periodically review:
  • Default comments
  • Work instructions
  • Item restrictions
